Faculty and Staff Introduction
The personnel census is September 30 of each year, when a snapshot of the employee database (PeopleSoft HR) is taken for
purposes of official reporting and policy analyses. This Personnel Data File (PDF) includes demographic and educational data and funding information; it is completed by December 1. Definitions for the categories of employees appear below.
The dates and definitions are set by the federal government and UNC-GA.
NOTE: In Fall 2002, UNC-General Administration changed the definition of how we identify IPEDS instructional
faculty to match that used in reporting AAUP instructional faculty. The definitions below are the new definitions.
Standard Reporting Populations, as of Fall 2002 (AAUP and IPEDS)
- Total Employees represents all permanent employees on campus at NC State University. This includes EPA and SPA employees. It does not include graduate assistants or the "Alternate Populations " groups listed below.
In general, permanent employees participate in the retirement system and receive medical benefits. There are some hired as time-limited employees without benefits who are classifed by UNC-General Administration as "Temporary" who are counted in our PDF. One group of these is the supplemental faculty. There are other employees in various positions on campus who are counted while not being truly permanent hires.
- Faculty includes faculty on 9 or 12 month contracts whose primary activity is instruction, research, and/or on-campus extension and whose salaries are paid at least 50% from teaching, research, and/or extension funds. Teaching funding is defined as FTE associated with subhead 101-1310 or 106-1310. Research FTE subheads are 110-1110, 122-1110, and 106-1110. Extension subheads are 131-1110, 132-1110, and 133-1110.
Faculty on leave without pay, librarians, and field faculty are not counted in this definition of faculty.
This population is reported to AAUP (full-time only) and IPEDS (both full- and part-time). Both AAUP and IPEDS call this whole group instructional faculty. The AAUP faculty definition (full-time only) is
used to compute an average faculty salary for comparison with other institutions (see
peer pages).
- Staff represents all EPA and SPA employees who are not classified as instructional faculty by the definition
above. Therefore staff includes administrative, professional, technical, clerical, maintenance, and trades employees,
and those faculty who do not meet the funding definition for Faculty above. (Note that Staff will include tenured administrators if their funding is not from teaching, research, or extension subheads defined above).
- EPA includes all employees (academic and non-academic) on the university payroll that are not subject to the State Personnel Act.
- SPA includes all employees on the university payroll that are subject to the State Personnel Act.
- Graduate Assistants includes all graduate students who have either a teaching or
research assistantship. Graduate assistants are not counted as faculty or staff.
The PeopleSoft job codes included are:
- A138 - Graduate Teaching Asst
- A148 - Graduate Research Asst
- A168 - Graduate Univ Research
- A178 - Graduate Teach & Research Asst
- A188 - Graduate Univ Research Supplemental
- A198 - Graduate Services Assistants
Alternative Populations
These reports include other populations of employees who are excluded from the standard reporting population. These are made available to answer questions and are not subject to the same strict definitions as the PDF populations are.
They do not meet the test of on-campus and permanent benefits-receiving employees.
