How to Fill Out The Web Entry Screen

  • Click on link above to see home screen.
  • Screen shows the viewer the login ID and current year time period.
  • Two links are available for fiscal or calendar year. All faculty in a department should choose the same link as determined by their faculty activity reporting requirements.
  • A reporting time period should be the same for all faculty in a department.
  • Click on link to see detailed entry screen.
  • Enter data then click on SUBMIT to save the screen, or bypass save with the alternate escape link.
  • The application does not add numbers to the previous contents for a box, a number in a box is read and saved as it is. The saved number will be displayed back next time the panel is viewed.
  • A total of counts is returned after save to show data was entered.

Description of Web Entry Screen

  • Information is stored in a secure database accessed by each person's unity ID. At this time there is no provision for surrogate entry method (administrative assistant, temp labor, etc).
  • Most measures are simple counts. Certain measures will ask for lists of students participating in selected activities (example: undergraduate research), or for courses (blended face-to-face and online instruction). The list of students is used to combine for a department and avoid double-counting.
  • The application will allow updates to the prior year's data after the time span for counts has ended. An example is updating spring 2009 information after spring 2009. There will be a cutoff in September 2009 for the prior year activity to be recorded. Note that the new year's window is open at that time too.

Research Activity Details

  • All SPARCS activity will be summed independently of the web collection counts at the end of the year.
  • The entry box on the web screen gives you a chance to enter counts for activity that is not recorded in SPARCS.
  • There are 6 items (#32 - #37) where the year's activity is summed from the SPARCS database according to the definition for the item.
  • These pre-summed counts are for information only and represent the state of the research activity as of March 19, 2009 for FY 2009.
  • Double counting will result from filling in counts for contracts and grants that will be pulled from SPARCS.
  • Multiple PIs are each counted once at this level of reporting. When reported to Delaware, only one instance of a project will be reported per department, so multiple PIs on a project in the same department will result in 1 count for the department. PIs in different departments would result in 1 count in each of those departments.

Six Items on Screen are in List Format

  • Lists start with no information represented by empty boxes. Information entered in boxes is saved, and when the group of boxes are filled, a new set of empty boxes are presented.
  • Items 4, 4a, and 4b ask for course sections to be identified by instructional mode. Delaware requires item 4 to count on-line delivery. NCSU is asking for item 4a to identify "blended" online and face-to-face delivery. Item 4b covers all course sections not in 4 and 4a, inluuding face-to-face and non-online DE delivery.
  • Items 11, 14, and 15 are lists of students by name and / or ID number who fall in one of the categories including undergraduate research, co-authors on a publication, and co-presenting at a conference.
